Finally, it applies to anyone who visits our website regardless of whether they subscribe to any service.

3. Information We Collect

3.1 Information You Provide Directly

When you register for, configure, or use our platforms, we collect information that you voluntarily provide. This typically includes your name, designation, and professional contact details such as your email address and phone number. It includes your organisation's name, registered address, and GST details where applicable. When you use the platform, it includes the content you create — orders raised, visit records, activity notes, call logs, meeting records, task entries, collection details, and any other information entered into the workspace in the course of your operations. Billing and payment details are also collected, though sensitive financial instrument data such as card numbers and bank account credentials is handled entirely by authorised payment intermediaries and is not stored directly by TezBytes.

3.2 Sensitive Personal Data and Information

For FieldAXIS ILP, where trade influencers and other professionals are enrolled in loyalty and incentive programmes, we may collect sensitive personal data on behalf of our Clients for the purposes of KYC verification, identity validation, and reward processing. The specific data collected depends on the requirements of the Client's programme and the applicable verification standards. This may include, but is not limited to, government-issued identification details, tax identification numbers, financial account information, biometric identifiers, address documentation, and photographs.

It is important to note that the scope and nature of sensitive data collected through FieldAXIS ILP is determined by the Client's programme configuration and the verification requirements they apply. TezBytes provides the platform infrastructure and processes this data strictly on the Client's behalf. All such data is collected with the explicit, informed consent of the individual at the time of enrolment and is processed solely for the stated programme purposes.

3.3 Information Collected Automatically

When you use our platforms or visit our website, certain information is collected automatically as part of how the systems operate. This includes your IP address, the type of device and browser you are using, your operating system, and your general network location. It includes information about how you interact with the platform — which pages and features you access, how long you spend on them, and the actions you take. For field representatives using the FieldAXIS (Activity eXecution and Intelligence System) mobile application, location data is captured during visit check-ins and journey execution. This is a core operational feature of the platform and is fundamental to how field activity is tracked, recorded, and reported. Log data, including the timestamps of actions and any error reports generated during your session, is also collected automatically.

3.4 Information From Connected Third-Party Platforms

When Clients connect third-party platforms and services to FieldAXIS (Activity eXecution and Intelligence System), we may receive data from those platforms as part of the integration. For example, if a Client configures IndiaMart lead import, leads and associated contact details flow into the FieldAXIS CRM from IndiaMart's systems. If Tally or an ERP system is integrated, accounting and invoice data may be synchronised into the platform. If WhatsApp Business API is connected for notifications, message delivery data is generated. The nature and volume of data received from third-party integrations depends on the scope of each integration as configured by the Client.

4. How We Use Your Information

We use the information we collect to deliver, operate, maintain, and continuously improve our platforms and services. This includes provisioning and configuring the Client's workspace, processing transactions and issuing the associated documentation, and ensuring the platform functions correctly across all modules and integrations.

For FieldAXIS ILP, we use the information collected to verify the identity of enrolled participants and to process reward redemptions, including UPI-based payouts, accurately and securely.

We use operational data to send relevant notifications to the right people at the right time — visit confirmation messages, order status updates, redemption OTPs, collection alerts, and other communications that are a functional part of how the platform serves its users.

We use the information to respond to support queries, diagnose technical issues, and maintain the reliability of the platform.

We use the information to comply with applicable legal and regulatory obligations, including responding to lawful requests from authorities.

We also use the information to detect, investigate, and prevent fraudulent activity, misuse of the platform, or any form of unauthorised access.

4.1 Aggregated and De-identified Data

Beyond the direct operational uses described above, TezBytes may use anonymised, aggregated, and de-identified data for purposes including improving platform features, understanding how the platform is used across different types of businesses, conducting analytical research, and developing new capabilities. Data used for these purposes is stripped of all personal identifiers and cannot be traced back to any specific individual or organisation. It is not shared externally in any form that could identify a person or a Client. This use of anonymised data allows TezBytes to build a better, more useful platform over time without compromising the privacy of anyone whose information passes through our systems.

5. How We Share Your Information

TezBytes does not sell, rent, or trade personal information to any third party for commercial purposes.

We share information with authorised third-party service providers who assist in operating our infrastructure, processing payments, delivering SMS and OTP communications, and providing related operational services. These providers are bound by contractual confidentiality obligations and are not permitted to use the information they access for any purpose other than performing the specific services they have been engaged to provide.

Within the platform, data is visible to the Client's own authorised administrators within their workspace. TezBytes does not independently access Client data except where required to provide technical support, resolve a documented issue, or comply with a legal obligation.

We may disclose information where required by law, court order, or the direction of a regulatory or government authority. In those circumstances, we will disclose only what is legally required and will notify the affected Client where permitted.

In the event that TezBytes is involved in a merger, acquisition, or transfer of business assets, personal information may be transferred as part of that transaction. We will notify affected parties before their information becomes subject to a materially different privacy policy.

6. Data Retention

We retain personal information for as long as is necessary to fulfil the purposes described in this policy or as required by applicable law.

For active Client accounts, data is retained for the full duration of the subscription. Following the end of a subscription, data is held for a period of 90 days during which the Client may request a full export of their workspace data. After that 90-day window, data is moved to a secure archive and permanently deleted within 12 months of the subscription end date.

Financial records, invoices, and billing documentation are retained for a minimum of seven years in compliance with Indian accounting and tax regulations.

Sensitive personal data collected through FieldAXIS ILP — including identity documents, financial account details, and related information — is retained only for as long as the individual is an active programme participant. Upon a verified request for deletion or upon account closure, this data is removed from active systems. Backup and archive retention timelines are governed by our standard data deletion schedule.

7. Data Security

We implement administrative, operational, and technical measures to protect personal information against unauthorised access, disclosure, alteration, or destruction. These measures include industry-standard encryption for data in transit and at rest, access controls that ensure each person within an organisation can only access the information relevant to their role and responsibilities, and daily automated backups to protect against data loss. Our internal access procedures ensure that TezBytes staff access Client data only where operationally necessary and under documented procedures.

No system connected to the internet can be guaranteed to be completely immune from security risks. While we apply robust measures and continuously review our security practices, we cannot warrant absolute security. In the event of a data breach that is likely to affect your personal information, we will notify you in accordance with the requirements of applicable law.

8. Your Rights

You have certain rights in relation to your personal information. You have the right to request access to the personal information we hold about you and to receive a copy of it. You have the right to request that we correct or update inaccurate or incomplete information. You have the right to request that your personal information be deleted, subject to our legal obligations to retain certain records.
